How to Contact a Clothing Factory: An Email Template for Emerging Designers

Your first factory inquiry should make it easy for the recipient to understand what you want to produce, how much you anticipate ordering, and where you are in development. Otherwise, they may simply ignore your inquiry (sad but true). Use the template below as a professional starting point, replacing the brackets with your project details and removing questions that do not apply.

Bonus points if you research the factory’s capabilities ahead of time and mention why they seem like a good fit. That extra effort makes a strong first impression and positions you as a respectful, resourceful brand partner. It can also help you get a timely response and start the relationship off on the right foot.

If you are still developing your designs with a product developer or freelance designer (ahem, Masha DeHaan Fashion Development, as one example!), clearly state that you are requesting preliminary pricing for budgeting purposes. Include the product information you have available, and be prepared to provide more detail before the factory can confirm pricing.

Our target production completion date is [date or “to be determined”]. Quantities are preliminary and subject to confirmation.

Could you please share the following information?

  2. Minimum order quantities (MOQ): What are your minimums per style and per colorway? Are there separate fabric or trim minimums?

  3. Material sourcing: Do you offer fabric and trim sourcing support, or would we need to provide this in full?

  4. Sampling: Can you produce samples using patterns and tech packs supplied by our development team? What are your sampling costs and typical turnaround times?

  5. Production timing: What is your typical production lead time once samples, materials, and final specifications are approved?

  6. Preliminary pricing: Can you provide an estimated unit cost or price range based on the information supplied? Please identify what is included, any separate charges, and what you would need from me to prepare a more accurate quote.

[Optional: Do you coordinate with any third-party logistics providers for warehousing and order fulfillment?]

I have attached [design sketches, reference images, preliminary specifications, or completed tech packs] for your review. We understand that initial estimates may change as materials, construction details, and quantities are finalized.

If our project appears to be a fit, please let us know your next steps and any additional information you need.
